Please Note - Part Time Employment (approx 20hrs per week)

We are a condominium community of 330 shareholders and apartments, located in Diego Martin. We need an experienced manager to provide strategic planning for and oversight of all areas of management. While this is not a full-time obligation and would suit a retiree who wants to work part time, it requires responsibility for shareholder communications, supervision of the administration department and oversight of finance, operations, safety and security.
  • Job Description:

  • Draft, or assist in drafting, the annual budget; ensure that the terms of our accounting contract are met; ensure proper management of the operational budget;
  • Ensure the collection of maintenance fees (Service Charge); oversee financial statements and maintenance of the mid and long term reserve funds;
  • Ensure maintenance of Accounts Payable; report the variance to budget quarterly and maintain a delinquency report on service charge collection.
  • Ensure that the terms of the facilities management contract are satisfactorily met; that preventative maintenance is practiced.
  • Ensure that there is proper upkeep of common areas and landscaping.
  • Monitor the complaints log maintained by the Admin Dept and ensure that issues are receiving appropriate attention.
  • Review maintenance schedule and monthly report, forwarding to BOD with any recommendations.
  • Establish a vetted Vendor List; keep track of services and records; provide oversight of all projects.
  • Do regular ‘walk throughs’ of common areas to note anything that is, or could become, a safety hazard, requires repair, or is not aesthetically satisfactory.
  • Safety:
  • Working with the BOD, the Manager will establish an emergency response plan; will make recommendations for safety enhancements; will make routine checks on fire safety systems and will provide oversight of optimum insurance coverage and claims.
  • SECURITY:
  • The Manager will ensure that background checks of tenants have been made and that the administration office has all necessary tenant information. He/she will review the monthly security reports and work with the Board, the Safety Committee and Security management to ensure that proficient services are provided to WHML and that contract terms are met.
  • COMMUNICATIONS:
  • Receives and shares shareholder enquiries and complaints with the BOD
  • Sends out Board communications to Shareholders
  • Mediates/manages disputes and helps to resolve problems
  • Issues warnings and/or enforces consequences of rules that are broken
  • Reporting:
  • The Manager will prepare a report covering Finance, Operations, Security/Safety and Administration, for the monthly meeting of the Board of Directors.
