JOB SUMMARY 

This position is primarily geared towards delivery of Food Items to Supermarkets, Restaurants and Small Shops throughout Trinidad and Tobago. Essential duties include checking goods before delivery as per given invoice to ensure both accuracy and quality; supervising loading of trucks and vans before delivery; and reporting any issues to Management. The Dispatcher is also responsible for obtaining Credit Memos if there is a shortfall of the items listed on the invoice. The Dispatcher will also receive returned goods from customers when they were not delivered for any reason and must check off and sign as having verified the quantity and condition of goods returned as well as the reason given for the return. The Dispatcher must adhere to the Company’s policies and procedures; and must report any issues that arise promptly to Management. 

  

DUTIES & ESSENTIAL JOB FUNCTIONS 

 

  • Ensures that items to deliver are in good condition and not damaged; and expiry dates have not passed. 
  • Verifies that the goods that are loaded onto trucks prior to delivery matches the quantity that is invoiced; and informs the Warehouse Manager and Inventory Manager if there is a shortage or overage. 

 

  • Supervises the packing of the truck with goods to ensure ease of delivery according to the route. 

 

  • Coordinates and manages the most efficient runs, combining orders based on the route of deliveries. 

 

  • Checks and signs off on returned goods at the end of the day’s deliveries and reporting any discrepancies. 

 

  • Obtains Credit Memos for goods where a shortfall is noted. 

 

  • Completes Truck Control Forms on a daily basis. 

 

  • Attends to walk-in customers and staff sales. 

 

  • Receiving and checking off goods that are delivered to the Company. 

 

  • Ensures that drivers fill the trucks and vans with diesel after completing deliveries, before they are parked, in preparation for the following day. 

 

  • Conducts daily inspections on all vehicles with the assigned drivers, checking for any damages and defects. 

 

  • Ensures that drivers maintain the cleanliness of their assigned vehicle by washing the exterior and keeping the interior tidy. 

 

  • Reports any issues promptly to the Warehouse Managers and Fleet Manager (vehicles). 

 

  • Other duties that may be assigned. 

 

 

OTHER FUNCTIONS AND RESPONSIBILITIES 

The Dispatcher will perform other duties as assigned by the Warehouse Manager that may be deemed necessary for the effective functioning of the Department, such as Driving: 

  •  Loading of trucks prior to delivery. 
  •  Driving in a safe and courteous manner, so as not to cause harm or injury to self, others, or property and ensuring that Timesheets are completed after each stop to account for time spent at each location and returning the Timesheet to the Warehouse after deliveries for the day are completed. 
  •  Delivery of goods to customers and ensuring that goods given are in excellent condition and not damaged or defaced in any way. 
  •  Conducting two (2) or more trips as deemed necessary by Management. 
  •  Accounting for Yellow Copies received from customers after the delivery is completed and ensuring that they are returned to the Warehouse and given to a Supervisor to check off. All returned goods should be accounted for in the presence of the Receiving Supervisor. 
  •  Performing checks, refueling delivery vehicle on a daily basis and washing and maintaining the cleanliness of said vehicle. 

 

REQUIRED QUALIFICATIONS 

  • 3 (Three) Ordinary Level Passes or completion of Secondary School
  • Ability to read, write and understand instructions
  • Fit physical condition 
  • Pleasant Disposition and well mannered 
  • Ability to communicate well 
  • Team Player 
  • 2-3 years’ experience in Warehousing/Delivery Environment 
  • ability to multitask well

 

REQUIRED LICENSES/CERTIFICATIONS 

  • Forklift Operating License (if applicable) 
  • Certificate of Character 

PHYSICAL REQUIREMENTS/WORK ENVIRONMENT 

The Food Warehouse is a fast-paced environment which requires various activities such as bending, lifting, walking, sitting, turning and repetitive motion.  There are vehicles and forklifts constantly in motion and as such, the employee must be aware of this and be able to react quickly if need be to get themselves out of harm’s way. It is essential that all HSSE policies and procedures are followed in an effort to create a safe and comfortable working environment for all. Therefore, activities such as bending, lifting, climbing etc. must be done in the correct manner; and employees must wear proper PPE (Personal Protective Equipment) to ensure that any risk to self, others, or property is minimized.
