POSITION: Finished Goods Warehouse Stock Control Supervisor

CUSTOMER SERVICE RESPONSIBILITIES:

The holder of this job position is responsible for directly serving the following customers:

STOCK CONTROL:
  • Verify the balance and document support of all transactions recorded in the system, including but not limited to:
  • Production postings; transfers as it relates to loads fulfillment, damages and unloads, to and from truck sites and between truck sites, to direct sales sites and export sites; stock adjustments
  • Follow that loads and unloads are physically checked according to prescribed procedures.
  • Follow up on product quantities and accuracy, by carrying out and comparing physical stock counts with the stock in the system for all finished goods.
  • Track, investigate, and solve shortages, overages or any other stock issues that may arise during Warehouse operations.
  • Initiate stock write off processes and follow up to completion.
  • Follow up that Finished Goods that staff make all records for stock as required.
  • Advise FG Warehouse Management of any (potential) issues that can affect customers or the department.

FINANCE STOCK COUNTS:

  • Lead the coordination of the Finished Goods Department for monthly or other Finance stock counts.
  • Check that all finished goods items are part of monthly or other Finance stock counts in the Enterprise Resource Planning (ERP) system.
  • Initiate all Finance stock counts for the Finished Goods Warehouse in the ERP system.
  • Receive count data and follow up on all adjustments for all Finance stock counts.
  • Enter count data with adjustments for all Finance counts and submit to Finance with all support documents.
  • Investigate and solve shortages, overages or any other issues that may arise during Finance stock counts or as a result of Finance stock counts.
  • Report to Finance on variances from stock count within the specified time and according to the agreed standards.

LOADING OPERATIONS – LOCAL & EXPORT AS NEEDED:

  • Understand the requirements of local and export product dispatch and ensure documented accordingly.
  • Get stocks segregated or identified and stored in such a manner as to avoid inaccurate stocks or incorrect deliveries.
  • Ensure that staff makes all records as required, and follow the correct codification, classification and recording of all products, including but not limited to:
  • Identification and differentiation between good and damaged products.
  • Identification between different product types including different batch dates.
  • Follow up the product quantities and accuracy, by validating physical stock movements with inventory stock records on a shift.
  • Carry out physical stock counts as determined to maintain accurate stock levels and report the results according to the requirements of internal customers.
  • Act in conjunction with co-supervisors to ensure On Time and In Full deliveries.

EFFECTIVE PEOPLE MANAGEMENT & LEADERSHIP :

  • Perform the full range of Performance Management activities for support staff in accordance with the expected standards, inclusive of taking corrective action for non-performance and recognizing top performers in a timely manner.
  • Implement initiatives to enhance/improve the engagement levels within the team.
  • Monitor the team’s time and attendance and take corrective action for non-compliance with the required standards.
  • Identify the training and learning needs of support staff and recommend /implement appropriate interventions to address identified needs. This includes coaching and provide technical guidance, when required.
  • Assist in maintaining the ideal team complement by recommending suitably candidates to fill vacancies in a timely manner.
  • Maintain a safe and healthy work environment by establishing, adhering and enforcing standards and procedures for GMP.
  • Respond to queries and provide clarification on issues raised by the team on the expected standards of behaviour as outlined in the Employee Handbook.


ENTRY REQUIREMENTS & KNOWLEDGE FOR THE JOB:

  • 5 CXC passes including Math, English and Accounts
  • Accounting certification would be considered an asset.
  • Certificate in Warehouse Management or equivalent or
  • More than 5 years’ working experience within a Warehouse environment.
  • 3 years’ working experience in stock control in any business environment.
  • Forklift Driving Certificate
  • Knowledge of ERP Systems. Knowledge of GP is a definite asset.

JOB RESPONSIBILITIES:

Supervising of other Warehouse Supervisors, Stacker and Forklift Operators and Warehouse Attendants.

Including but not limited to Computers, Electronic Devices, Office equipment, Forklifts, Product

Working Conditions :

  • The Company operates a 24-hours, 7 days a week operation and as such you will be required to work on a shift rotation basis inclusive of two (2) Saturdays per month to facilitate such.
  • Will be required to work on Sundays for monthly or other Finance stock counts.
  • Your Manager will further advise of your official working hours and days. However, you may be required to work outside of your normal working hours and days to satisfy exceptional customer needs.
  • Safety shoes required.

PHYSICAL REQUIREMENTS:

  • Physical Strength and Agility: Duties include but are not limited to climbing, standing for long durations, lifting, pushing and pulling of items.
  • May be required to operate a forklift.
  • May be required to lift items up to 45 lbs.
  • Must be able to sit for long hours and use computer equipment
